Job Responsibilities

In this role, you will coordinate and be responsible for all special event activities and logistics for approximately 12 public performances, backstage VIP receptions, and approximately six private events in the Reno and Lake Tahoe region for the Reno Jazz Orchestra (RJO). Your responsibilities will be part-time, year-round, and include consistent coordination with the RJO team members, concert venue staff, guest artist staff, and guest services at all events. You will also assist the Program Development Director.

Job Highlights

Event Coordination

  • Develop and manage event timelines and coordinate with the RJO team and venue contacts.
  • Develop and retain good working relationships with venue managers, guest artists, and artist management.
  • Secure and complete all necessary venue permits.
  • Manage ticketing program
    • Create performance listing and seat maps within the ticketing system
    • Monitor sales and troubleshoot as needed
    • Oversee all virtual and on-site ticket sales processes throughout the year
    • Coordinate VIP donor seating
  • Manage day-of tasks
    • Oversee on-site event ticketing and staffing
    • Oversee all food and beverage activities
    • Recruit volunteers, schedule, train, and acknowledge
    • Ensure merchandise and collateral materials are on-site and sales are managed
  • Manage guest artist relations
    • Secure travel and lodging
    • Address guest artists' requirements (re: food, beverage, accommodations)
  • Create and oversee all concert and private events' pre- and post-event activities that may include yet not limited to:
    • Overall venue scheduling, timeline, responsibilities, contacts
    • Event staffing and training
    • Partner vendor contracts
    • Food and beverage (menu budgeting, election, set-up, delivery, clean-up)
    • Decorations
    • Supplies (programs, promotional materials, etc.)
    • Guest gifts
    • Post-event evaluation (internal/team)
    • Post-event thank you notes

Program Development Assistant

  • Participate in the Program Development Committee meetings
  • Assist the Program Development Director as needed

Qualifications

  • A minimum of 4 years' experience in event coordination and hosting special events for up to 500 people
  • Ability to work in a highly responsible, time-sensitive and fast-paced environment
  • Flexible schedule (night/weekend hours required)
  • Highly self-motivated with impeccable attention to detail
  • Excellent interpersonal skills
  • Proficiency in Google Drive, Word and Excel
  • Ability to lift 20 pounds
  • Reliable transportation a must

Pay

Contract position and commensurate to experience: $25 - $30 / hour
Immediate start date preferred
